Business Activity Coordination CAE.
Manage documentation for contractors and subcontractors, control access to your facilities, verify compliance in real time, and maintain the necessary traceability for inspections. All in a single platform, with traffic light coding and an access control app.
All contractor documentation centralized and controlled.
CAE requires keeping the documentation of the company, personnel, vehicles, and machinery of each contractor and subcontractor accessing your facilities up to date. FAMA centralizes this management with traffic light coding that shows the documentary status of each company at a glance: green (up to date), yellow (upcoming expirations), red (blocked).
Facility access validated in real time via QR.
FAMA includes an access control app that verifies instantly if a contractor’s worker has valid documentation before authorizing entry. Verification is done via a personal QR linked to the current documentary status.
If documentation is in order: access authorized. If there is an expired or pending document: access automatically denied.
Documentary evidence for inspections and audits.
The Law on the Prevention of Occupational Risks (Article 24) and Royal Decree 171/2004 establish specific obligations for preventive coordination with contractors. FAMA generates the necessary documentary traceability to demonstrate compliance before a labor inspection or an audit.
Every validation, every access, and every document has a timestamp and a record.
More precision, less time, and a smaller margin of error.
To improve process efficiency, FAMA CAE incorporates an automatic document validation robot, designed to speed up review work and reduce friction in coordination with suppliers.
This approach allows you to:
- Speed up validation times.
- Gain precision and flexibility in document review.
- Reduce costs and the margin of error in validation.
Everything you need to streamline Business Activity Coordination.

What is Business Activity Coordination (CAE)?
CAE is the set of processes intended to coordinate companies and external workers performing concurrent activities at the same center, ensuring the exchange of information and the management and validation of the required documentation.
What obligations does Article 24 of the LPRL establish for the main company?
Article 24 of Law 31/1995 mandates the coordination of preventive activity when workers from two or more companies coincide at the same workplace. The owner company must inform and instruct contractors about existing risks and monitor that they fulfill their preventive obligations. FAMA provides the documentary traceability to prove it.
What documents must a contractor provide to access my facilities?
At the company level: Prevention Plan, Risk Assessment, Civil Liability Insurance, and TC2. At the worker level: contract, OHS training, and medical fitness. At the vehicle and machinery level: MOT (ITV), insurance, and technical data sheet. FAMA allows you to configure the requirements for each type of work or access.
Do contracted companies have to pay to access the platform?
No. Contracted companies access their document submission portal free of charge. The license corresponds to the organization acting as the main company.
What is a CAE platform for?
A CAE platform allows for the centralization of documentation, organization of coordination between companies, and maintenance of traceability regarding the required standards. Furthermore, it facilitates continuous validation to know the compliance status of contractors and subcontractors at all times.
What role does document management play in CAE?
Validation is key because it confirms whether the documentation provided by suppliers is correct and valid. A CAE system helps control statuses and expirations and request documentation immediately when it is expired or rejected, maintaining a traceable history.
How does CAE relate to OHS?
CAE and OHS (Occupational Health and Safety) are closely linked in environments with business concurrence. Coordination allows for the organization and validation of the information necessary to comply with safety and control requirements when different companies are involved.
What is the automatic document validation robot?
It is a feature that speeds up documentary validation, reducing review times, gaining precision and flexibility, and helping to decrease costs and the margin of error in the process.
How does the external personnel validation and access management APP work?
The APP allows for the control of external personnel access in real time according to the status of the validated documentation. By reading the QR code or entering the numerical code of the accreditation, it consults the database of the document management and validation platform and shows the result visually, indicating whether the worker or vehicle can access the facilities or not.
Can the documentary status be viewed by company, person, vehicle, and machinery?
Yes. FAMA CAE offers an immediate visualization of the documentation status at the company, person, vehicle, and machinery level, to maintain real control over concurrence and act quickly in case of non-compliance.
Is CAE relevant in organizations with multiple centers?
Yes. In organizations with several centers or high levels of outsourcing, CAE is key to maintaining control, consistency, and traceability, standardizing document validation and supplier coordination processes.
